The Department of Orthopedics is a faced paced multi-site ambulatory specialty located in Cambridge, Somerville, and Malden.
Job Purpose: Registration/Reception Component 1. Completes computer registration thoroughly and accurately according to protocol. 2. Prepares appropriately for computer downtime. 3. Greets patients and visitors to ensure accurate and timely departmental communication and the presentation of department in a positive manner. 4. Prepares charts with appropriate accompanying forms. 5. Maintains accurate record of ''Kept'' and ''DNKA'' appointments. 6. Handles patient-billing problems effectively. 7. Collects cash payments and provides patient with accurate receipt. 8. Prepares billing sheets daily. 9. Enters all charges daily and other data as needed. 10. Obtains proper insurance authorization for appointments. Checks Insurance card at every visit for eligibility. Appropriately utilizes POS device to obtain insurance information. 11. Compiles daily provider statistics. 12. Obtains taxies and chair cars for patients as well as other courtesies to patients.
Telephone Reception Component 1. Directs all calls to appropriate staff and contacts providers as needed. 2. Answers telephones promptly and courteously. Follows guidelines for telephone triage. 3. Clearly identifies proper name of site and self. 4. Manages incoming calls by determining urgency before placing on hold. 5. Keeps track of calls on hold. 6. Takes messages accurately and thoroughly; includes name of caller, date and time of call, a brief message and the initials of the operator. 7. Call forwards and retrieves telephones from Answering Services.
Appointment Scheduling Component 1. Schedules new and follow-up appointments for patients within an appropriate time frame. 2. Collects complete appointment information to identify patient and reason for appointment. 3. Schedules patient appointment in computer. 4. Places reminder calls to patients on a daily basis. 5. Notifies patients of schedule/appointment changes in a timely manner.
Qualifications; Education/Training: High School diploma/GED required Medical terminology required Work Experience: 2- 5 years medical office experience and/or customer service experience required. Physical Skills: Visual and auditory capabilities sufficient to comprehend written and spoken information Working Conditions and Physical Environment: Ability to work at a desk for extended periods.
