  • Responsibilities: Greets departmental visitors to ensure accurate and timely departmental communication and the presentation of the department in a positive manner. Performs secretarial and administrative support duties in the preparation of departmental correspondence, billing support, reimbursement, and record keeping. Demonstrating excellent clerical, interpersonal, organizational, and writing skills. Troubleshoots all office equipment failures utilizing approved process. Recognizes patient related issues and passes on accurate information to appropriate personnel. Composes, types, files and maintains records of correspondence, reports, agendas, and minutes of meetings as assigned in an accurate, neat, and timely manner. Places orders for office supplies and forms via the computer as needed. Schedules all appointments, supports calendar management of leadership team as required. Edits changes in scheduled procedures if applicable. Resolves scheduling conflicts with team or patients as necessary, when applicable. Communicates consistently with Practice Manager and team. Provides coverage for other administrative team members during vacations, sick-time, and scheduled days off, as assigned. Providing coverage as needed to cover absences. Maintains and monitors physician suspension list. Supports front desk in managing provider schedules, and adjusts the schedule accordingly, and communicates with team. Functions as a team member, participating in follow through and consistent communication on work that needs to be completed. Demonstrates ability to handle emergency situations in a prompt, precise and professional manner. Attends meetings, takes notes, participates, and provides necessary follow up to leadership team in committees or meetings as required. Demonstrates the ability to handle many projects and interface with many important constituencies. Performs other related duties and departmental support as needed.

    Requirements: High school diploma, Associates Degree preferred. Minimum 3 years of administrative experience in a medical or dental setting. Advanced computer training required. Proficiency in Microsoft Office and Google Docs required. Meditech, EPIC and database expertise preferred. Dental Practice management software expertise (such as Dentrix) preferred.

    Skills: Ability to work in a demanding, busy, and stressful environment with sufficient concentration to complete tasks with interruptions and distractions. Ability to comprehend and process information rapidly, and make appropriate decisions. Ability to prioritize and manage responsibilities. Exemplary verbal and written communication skills. Well developed time management and follow-through. Ability to anticipate needs of the department, and work independently. Ability to interpret general and technical data in relationship to specific job responsibilities and interface effectively with a variety of individuals and departments both internally and externally.
