Job Purpose: Under the general supervision of the Practice Manager, will supports the Directors of Adult Outpatient Psychiatry and Addictions Service . In accordance with established policies and procedures, will performs a wide range of administrative and secretarial functions including a multitude of office procedures in the service of supporting the Adult Outpatient Psychiatry Department 


Education/Training: High school diploma required. BA or Associate’s Degree preferred. Work Experience: Minimum three years secretarial experience interacting with patients and providers or customer service experience. Working knowledge of Epic and epic scheduling is required, demonstrated administrative competence. At least two years’ experience preferably in healthcare, and ideally in mental health care. Excellent interpersonal, communication and organization skills, as well as sound judgment. Must have good problem solving skills and ability to gather and interpret date; to resolve problems. MUST have knowledge of, and experience using, Microsoft Office, Google suite products and Epic. 


Job - Specific Duties and Responsibilities: Management Directors Google Calendars Drafts meeting agendas and takes meetings Using Word, Excel, PowerPoint, and Visio assists in the construction and maintenance of complex documents, presentations, and organizational charts Run various reports using Epic and Staffnet reporting systems Organize yearly Department Orientation for new trainee and residents Coordinates the ongoing OPPE system in the Adult Outpatient Psychiatry Department that tracks the overall performance of clinicians Assist with onboarding of new staff and departures Tracks and maintains vacation google calendar for the program leaders Assist with the organization and scheduling of trainings Provides cross coverage administrative coordinators as directed by the Practice Manager Maintains the private practice referral database Coordinates and organizes the general Mailbox system for the department Distributes weekly mail Room monitoring Track weekly Medicare Treatment plans through DAR & assist with M.D. signatures Attends meeting including the Administrative Coordinator monthly meetings and check in Performs other tasks as directed by the Practice Manager
