  • Job Purpose - The Administrative Assistant performs a wide range of administrative, academic, and research support functions. This position is responsible for research and academic administrative management and record keeping, IRB communication and record keeping, human resources communication, and office operations as well as supporting research and education operations.

    Specific Duties and Responsibilities:

    • Operations support
        • Answer phone and manage Division-related correspondence
        • Manage office mail services and office supplies
        • Issue Continuing Education credits and certificates
        • Process operational requests (e.g., book travel, coordinate and schedule meetings and events, basic website updates)
        • Assist with organization of library and other files
        • Manage files and provide integral administrative and research support for faculty and staff
    • Development support, including formatting and proofreading grant foundation applications, tracking submissions, and performing basic online searches for new opportunities
    • Research support, including IRB communication and secure record keeping, tracking certification compliance, and including maintaining efficient uniform process for the Division
    • Technology support
        • Website updates for associated websites: The BASIS, Division on Addiction, CARS Training Center, and Transparency Project
        • Mailing list maintenance
        • Monitor and schedule posts for social media accounts: Twitter, Facebook, LinkedIn
    • Human resource support, including prepare space and work materials for new staff members, liaise between CHA and DOA for relevant onboarding administrative tasks

    Education - BA/BS in relevant field of study or the equivalent combination of education and experience; BA/BS and relevant experience preferred. Work Experience - Proficiency with Microsoft Office (e.g., Word, Excel, PowerPoint), Google Suite (e.g., Docs, Sheets), and experience with Internet searches. Experience with other database programs and internet Content Management Systems, such as Wordpress and Typepad a plus. The applicant should have a strong interest in scientific research, in general, and addiction-related research, specifically. Creativity and experience with graphic design a plus. The candidate for this position must have highly developed organizational skills, excellent computer skills, and the ability to work both in a team environment and to function independently, yet collaboratively. Outstanding verbal and written communication skills also required.
