Summary:
Manages and coordinates the day to day activities of the Storeroom, Receiving, Network Mail, and Couriers with regards to supervision of personnel, receipt of goods, storage of goods, and distribution of goods. Implements a property management and control system that interacts with the MediTech Materials Management Module. Also performs all record keeping and administrative duties, to include the ordering of all Storeroom supplies.
Responsibilities:
• Reviews all storeroom orders daily for accuracy before they are filled and delivered.
• Provides and maintains a safe, clean environment by coordinating daily maintenance and housekeeping needs.
• Develops, implements and updates policies and procedures to provide guidelines for Storeroom/Laundry personnel.
• Submits daily, weekly and monthly reports to the Director of Materials Management as required to Document department activity and efficiency.
• Oversees the development and implementation of the Network Storeroom, which includes all MediTech training and problem solving.
• Directly supervises the daily activities of 4laborer porters.
• .Submits all divisional and department reports on a timely basis (i.e. weekly reports, monthly budget, open purchase order report, etc.)
• Responsible for the supervision, maintenance and corrective action for attendance and tardiness within area of responsibility.
• Adheres to all Hospital rues and regulations that apply to the department. Ensures that other departmental employees follow such rules and regulations.
• Responsible for the supervision and overall performance of the Network mail system.
• Responsible for the overall monitoring of off-site storage facilities including delivery, inventory monitoring, and disposal of inventory.
• Responsible for the supervision and overall performance of the Network mail system, Storeroom and storage (11 employees)
• Evaluates efficiency of the Storeroom to ensure that products are available in the right place at the right time.
• Provides and documents continuing education for Storeroom personnel to comply with JCAHO Standards.
• Attends programs and seminars for upgrading the Storeroom so that the Storeroom Personnel are abreast of the latest standards of Quality regarding all aspects of their job responsibilities.
• Conducts monthly staff meetings to discuss problems or any new issues pending.
• Attends weekly Materials Management Meetings and submits report to director noting accomplishments, problems and priorities for upcoming week.
• Establishes the content and format of job descriptions for Storeroom/ personnel.
• Interviews and recommends new hires for the Storeroom
• Assists new staff members in orientation to the Storeroom’s various hospital policies and procedures.
• Provides Right to Know and MSDS information regarding hazardous materials in the work place to ensure compliance with OSHA Regulations.
• Conducts performance appraisals according to Hospital Policy for Storeroom staff.
• Responsible for administering disciplinary actions according to Hospital Policy.
• Assures that time schedules are posted and all requests for time off are submitted for administrative approval.
• Maintains proper attendance in accordance with Hospital Policy.
• Reports to work on time in accordance with Hospital Policy.
• Attends the following monthly meetings punctually and submits and assigns minutes or reports in a timely fashion • Support Services • Management • Product Evaluation
• Accounts and controls inventory.
• Reviews requisitions before issuing of stock.
• Provides detailed instruction concerning the preparation of inventory issues slip
• Provides update pricing of goods
• Accounts for all materials purchased and delivered for the Storeroom.
• Keeps a record of an expedites all back orders
• Orders and prepares all Storeroom orders for supplies
• Performs any and all related clerical duties.
• Coordinates the group purchasing/prime vendor program for the Storeroom and other assigned departments.
• Performs other related duties as assigned or directed.
Provide effective communication system wide on recall, new item, and backorder items.
• Review new items with the MVAT committee.
• Fix and renovate each supply room at each site.
• Travel between sites multiple times a day CH, EH, SH, and ambulatory sites.
• Managing the courier service as we do not have one internal. I am redirecting or placing a
stop, optimizing the route, and making them more efficient.
• Manage the copy center and make sure the day-to-day tasks are completed and the correct approach
is met for all jobs to be completed.
• Oversee the warehouse operation. Making sure efficiency and productivity occur on a daily
basis.
MINIMUM QUALIFICATIONS :
Other information:
Minimum of an Associate's Degree in Business Management, Bachelor's Degree preferred. Equivalent, relevant experience my be substituted for a degree.
3-5 years of experience
Mental skills:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write routine reports and correspondence.
Ability to speak effectively before groups of customers or employees of an organization.
Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry.
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
